Summary:
The Learning Programs Department develops and delivers learning experiences outside of or in addition to a regular visit and provides opportunities for learners to dive deeper. We serve a variety of audiences across Learning Programs including students, teachers, teens, youth outside of school and families. This programming includes, but is not limited to, camps, school experiences, teacher professional development, out of school time programming for youth and teens and family engagements both at Shedd Aquarium, in off-site locations as well as in online environments. 
 
The Learning Programs Coordinator works closely with the managers and overall team to coordinate resources necessary for programs and staff (such as: buses, program attendance, purchasing, staff PTO, program scheduling & spaces, registration, and staff on-boarding) and actively seeks out tools and resources to achieve maximum efficiency. This is a 2 year term position. 
 
Time Commitment:
  • Approximately 40 hours per week; Monday-Friday with potential schedule shifts as needed. 
  • This position may require work on evenings, weekends, overnight hours, and holidays. 
  • This position must be able to work at Shedd Aquarium and in offsite locations. 
Position Salary:
  • Starting salary at $46,000 annually

  • Demonstrate commitment to Shedd’s vision, mission, and values
  • Program resource coordination: 
    • Coordinates the inventory, purchasing and use of Learning Programs’ resources (including but not limited to: technology, buses, supplies, etc.). 
    • Works across Learning Programs to streamline inventory needs and access to resources. 
  • Program registration support: 
    • Coordinates and supports program registration build outs, to successfully collate and submit information needed to build and launch program registrations. 
    • Helps to test and provide feedback on registration process and needs. 
    • Distributes and maintains program registration materials, including participant waivers, reports, learner/guest rosters and other participant information in organized, safe and secure ways. 
  • Staff scheduling and on-boarding: 
    • Coordinates and maintains staff program schedules, calendars and program assignments. 
    • Supports staff paid time off (PTO) requests and coordinates shifted schedules as needed. 
    • Facilitates new-staff department on-boarding procedures. 
  • Guest/Participant inquiries and program assistance: 
    • Responds to or re-directs guest program inquiries (I.e. answers ‘LearningPrograms@sheddaquarium.org emails, Camp Hotline contact) 
    • When needed and trained, assists with program implementation components (I.e. check-in, activity stations) 
  • Information management: 
    • Ensures that department-specific program data (I.e., program attendance numbers) is submitted and appropriately tracked.  
    • Coordinates and maintains content calendars for internal reviews and submissions. 
    • Coordinates/ensures ongoing departmental compliance with information tracking (e.g. recording special requests, documenting bus fund progress, etc.) 
  • Other duties as assigned.

Required Qualifications: 
  • Customer service skills and response efficiency 
  • Strong interpersonal and verbal/written communication skills  
  • Attention to detail, organizational, problem-solving and time management skills 
  • Proficient with current Microsoft Office suite, especially Outlook, Excel and Word 
  • Ability to learn with current Google product suite (Docs, Sheets, Slides, Surveys, etc.) 
  • Possess a team oriented working style and be a self-starter 
  • Read, write, speak and comprehend English 
  • Understand basic mathematical relationships and formulas 
  • Ability to learn new technology and computer applications 
  • Positive attitude  
Preferred Qualifications: 
  • Experience working with students, teens, youth and/or families from Chicago communities or other urban areas 
  • Bilingualism (Spanish/English preferred) 
  • Interest in and enthusiasm for lifelong learning, especially as it relates to conservation, animals and aquatic science
